No, we never charge booking fees. Our venue finding service is completely free. We work on commission from the venues, which means you get the best prices without any extra costs.
How much does it cost to book a venue?
Venue costs vary greatly depending on location, capacity, facilities, and dates. Conference centres in London typically range from £2,000-£10,000+ per day. Hotels offer residential packages from £80-£200+ per person per night. Contact us for accurate quotes based on your specific requirements.
Can I negotiate venue prices?
Yes! We negotiate on your behalf to secure the best possible rates. Our 20+ years of industry relationships and bulk buying power often result in better prices than booking direct.
What payment terms do venues offer?
Most venues require a deposit (typically 25-50%) to secure your booking, with the balance due 4-8 weeks before the event. Payment terms can often be negotiated for regular clients or large bookings.

How do I choose the right venue?
Consider: 1) Capacity needed, 2) Location and accessibility, 3) Budget, 4) Facilities required (AV, catering, breakout rooms), 5) Accommodation if needed, 6) Date availability. Our experts can help match you with suitable venues based on these criteria.
What's the difference between a conference centre and hotel?
Conference centres are purpose-built for events with dedicated meeting spaces and professional AV. Hotels offer the convenience of accommodation on-site, making them ideal for overnight events. Conference centres typically have larger capacities and more flexible spaces, while hotels provide an all-in-one solution.
How far in advance should I book?
For large conferences (200+ delegates): 12-18 months. For medium events (50-200): 6-12 months. For small meetings (under 50): 3-6 months. Popular dates and venues can book up 2+ years ahead.
Can I visit venues before booking?
Yes, absolutely! We recommend site visits for large events. We can arrange accompanied show-rounds at your preferred venues. Virtual tours are also available for many venues.
Facilities & Equipment
What AV equipment is typically included?
Basic packages usually include: projector/screen, flipcharts, WiFi, and microphones. Additional equipment (LED screens, video conferencing, lighting, sound systems) is often available at extra cost. Always confirm specific AV requirements when booking.
Can venues accommodate dietary requirements?
Yes, all professional venues can cater for dietary needs including vegetarian, vegan, halal, kosher, gluten-free, and other allergies. Provide dietary requirements at least 2 weeks before your event.
Is WiFi included in venue hire?
Most modern venues include complimentary WiFi. However, for large conferences requiring guaranteed high-bandwidth connectivity, dedicated lines may incur additional costs. Always confirm bandwidth capacity for your needs.
What room layouts are available?
Common layouts include: Theatre (rows of chairs), Classroom (desks and chairs), Boardroom (single table), U-Shape, Cabaret (round tables), and Reception (standing). Many venues offer flexible spaces that can be reconfigured.

What are the best cities for conferences?

Do venues have parking?
City centre venues often have limited or no on-site parking but nearby options. Out-of-town venues typically offer free parking. Airport hotels usually provide free parking for delegates. Always confirm parking availability and costs when booking.
How do delegates get to the venue?
Consider: proximity to airports/train stations, public transport links, taxi availability, and parking. Many venues offer shuttle services. For large events, consider coach hire. We can advise on the most accessible venues for your delegates.
Are venues wheelchair accessible?
Modern venues are required to meet accessibility standards. This includes: level access, accessible toilets, lifts, hearing loops, and accessible parking. Always specify accessibility requirements when booking so we can confirm specific needs with venues.

How does the booking process work?
1) Tell us your requirements, 2) We send you tailored venue options, 3) You shortlist your favourites, 4) We arrange site visits if needed, 5) We negotiate the best rates, 6) You confirm your chosen venue, 7) Venue sends contract, 8) Pay deposit to secure booking.
What information do you need from me?
Basic info needed: date(s), number of delegates, event type, preferred location(s), budget, accommodation required, and any specific needs (AV, catering, accessibility). The more detail you provide, the better we can match you with suitable venues.
How quickly can you find venues?
We typically provide initial venue options within 2-4 hours. For urgent requirements, we can provide options within 30 minutes during business hours. Complex or large-scale events may take 24 hours for comprehensive proposals.
Can I make changes after booking?
Yes, most venues are flexible with changes if given sufficient notice. Significant changes (date, capacity) may require rebooking. Minor changes (catering numbers, room layout) can usually be adjusted up to 2 weeks before the event. Check specific venue terms and conditions.
